POSITION: Mailroom Clerk

DEPARTMENT: Clinical Services 

BASE RATE: $15.00 per hour, with potential for additional compensation based on qualifications

POSITION SUMMARY: 

Responsible for collecting and processing outgoing and incoming mail within the Clinical Services Department (CSD) to ensure efficient operation of the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

1. Follows established Upper Peninsula Health Plan (UPHP) policies and procedures, objectives, safety standards, and sensitivity to confidential information.
 
2. Sorts, opens, inspects and distributes all incoming CSD mail and publications; logs and processes all incoming mail in the appropriate systems.
 
3. Prepares outgoing CSD mail for processing; responsible for quality assurance to verify the accuracy and completeness of mailing activities. 
 
4. Communicates and coordinates with CSD print job owners for special print projects and routine print jobs; carries out moderately complex oral and written instructions to support print and mail processes. 
 
5. Operates postage machine and other mailroom office machines. 
 
6. Responsible for CSD mailroom supply inventory management, including maintenance and availability of standard accompanying mail inserts. 
 
7. Responsible for arranging pick up and drop off of outgoing mail and packages for shipment for CSD, ensuring timeliness standards are met. 
 
8. Collaborates with clinical and marketing and communications teams for internal and external printing and reproduction needs, mailing and other related services, ensuring quality and cost controls.
 
9. Participates in departmental and interdepartmental process improvement; recommends improvements in processes as opportunities are identified.
 
10. Maintains confidentiality of client data.
 
11. Performs other related duties as assigned or requested.

POSITION QUALIFICATIONS:

Education:

Minimum:

High School Diploma or GED 
 

Experience:

Minimum:

Demonstrated experience in office procedures and related clerical duties 
 

Preferred:

Previous experience with high-volume mail processing 
 

Other requirements:

A valid driver’s license and proof of insurance 
Working vehicle

Knowledge of office machines, i.e., fax, copier/scanner
